Privacy Policy
1. Who we are
PROSPECT XI is a brand operated by CHAT DO LTD, a company registered in England and Wales under company number 16767864.
ICO registration number: ZC085027.
CHAT DO LTD is the controller responsible for the personal information described in this policy.
Registered office: First Floor, Swan Buildings, 20 Swan Street, Manchester, M4 5JW, United Kingdom.
Privacy contact: prospectxi.uk@gmail.com.
2. What this policy covers
This policy covers our website, enquiries, expressions of interest, event registrations and ticket bookings.
Our digital platform is in development. Separate privacy information will accompany its launch. This policy does not describe an operational app.
3. Information we collect
When you contact us or register interest, we collect your name, email address, enquiry type and any optional organisation, club or message details you provide.
When event registration or ticket purchasing is available, we collect the purchaser and attendee information requested on the relevant form, ticket selections, booking references and transaction-status records. The form identifies required and optional information.
A parent or guardian must manage registrations involving children and provide only the information requested for the event.
Our website services also process technical information, such as IP addresses, browser information, security logs and cookie preferences. Where analytics is enabled, information about website visits and interactions is processed in accordance with the applicable cookie choices.
Please do not include unnecessary sensitive information or detailed information about children in the general enquiry form.
4. How we use information
We use personal information to:
• Respond to enquiries and expressions of interest.
• Discuss event participation, collaboration and sponsorship.
• Administer registrations, bookings and attendance.
• Send confirmations, tickets and essential event information.
• Deal with payment queries, cancellations, refunds and complaints.
• Operate and protect the website.
• Understand website use through analytics, where enabled.
• Send optional news and marketing where the appropriate permission has been obtained.
Registering interest does not reserve a place or create a confirmed booking.
An enquiry or ticket purchase does not automatically subscribe you to unrelated marketing. Where you choose to receive marketing, an unsubscribe option will be provided.
5. Our lawful bases
We rely on legitimate interests to respond to general enquiries, manage business communications and protect our services, balanced against your rights and interests.
We rely on contract where processing is necessary to arrange or fulfil your event booking.
We rely on legal obligation where information is required for accounting, regulatory or other legal responsibilities.
We rely on consent for optional marketing and analytics where consent is required.
If an event requires health information or other special-category information, we will explain its purpose and the applicable legal basis and special-category condition separately before collecting it.
6. Service providers and sharing
We use Wix to host the website and support website forms, event administration and communications.
Where Stripe is enabled at checkout, Stripe processes payment information. We receive the transaction information needed to administer the booking. Full card details are handled by the payment provider.
Where Google Analytics is enabled, it measures website visits and interactions in accordance with the applicable cookie choices.
Google Search Console provides information about the website’s performance in Google Search. It is separate from on-site visitor analytics.
Relevant information is shared with authorised staff, event personnel and service providers only where needed for their responsibilities. Where a partner requires attendee information, the relevant registration information will explain the arrangement.
Information may also be disclosed to professional advisers or authorities where necessary or legally required.
We do not sell personal information.
7. International processing
Our service providers, including Wix, Stripe and Google, may process information outside the United Kingdom.
Where a restricted international transfer occurs, we will use an applicable lawful transfer mechanism, such as UK adequacy arrangements or appropriate contractual safeguards.
Contact us for information about the transfer arrangements relevant to your personal information.
8. Retention
We retain personal information only for as long as needed for its purpose.
For enquiries and expressions of interest, this includes responding and completing relevant follow-up.
For bookings, this includes event administration, applicable accounting requirements and resolving complaints or disputes.
Marketing information is retained while the subscription remains active. Limited suppression information may be retained following an unsubscribe request to respect your choice.
Consent records are retained where needed to demonstrate and respect the choices made.
When reviewing retention, we consider legal requirements, the sensitivity of the information, outstanding issues and whether the information remains necessary. Information no longer required is deleted or anonymised.
9. Security
We use reasonable organisational and technical measures to protect personal information and restrict access to those who need it.
No internet service is completely risk-free. Contact us if you believe information submitted through our website has been compromised.
10. Children and photography
Parents or guardians must manage registrations involving children.
We collect only the information reasonably needed for the relevant event or service.
Event photography and filming arrangements, intended uses and consent choices will be explained separately. Purchasing a ticket does not itself grant permission to use an identifiable child’s image for promotional purposes.
11. Your rights
Depending on the circumstances, you have rights to access, correct or erase personal information, restrict or object to processing, and receive certain information in a portable format.
You have the right to object to direct marketing.
Where processing relies on consent, you are entitled to withdraw that consent. Withdrawal does not affect processing already carried out lawfully.
Contact prospectxi.uk@gmail.com to exercise your rights. We may request information reasonably needed to verify your identity.
You also have the right to complain to the Information Commissioner’s Office:

12. Changes
We will update this policy when our services or information handling change. Any material changes will be communicated where appropriate.

Descriptions of our digital platform explain its development direction and do not promise that particular features are currently available.
3. Enquiries and expressions of interest
Submitting an enquiry or registering interest does not create a booking, reserve a place or guarantee participation.
Confirmed event registrations and ticket bookings are subject to the Event Booking Terms and the event-specific information provided before booking.

Use this website lawfully.
Do not attempt unauthorised access, introduce harmful software, interfere with website operation or submit abusive, fraudulent or unlawful material.

A link does not imply endorsement of every aspect of an external service.
7. Availability and responsibility
We aim to keep website information accurate and the website available, but errors and interruptions may occur.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that the law does not permit us to exclude.
Your statutory consumer rights remain unaffected.
8. Changes
We may update website information and these terms. Updates do not retrospectively remove rights relating to an existing booking.

Consumers retain mandatory legal protections and applicable rights to bring proceedings in their home jurisdiction.

Event Booking Terms
1. Organiser and scope
PROSPECT XI events are operated by CHAT DO LTD, a company registered in England and Wales under company number 16767864.
Registered office: First Floor, Swan Buildings, 20 Swan Street, Manchester, M4 5JW, United Kingdom.
Contact: prospectxi.uk@gmail.com.
These terms apply to event registrations and ticket purchases made directly through our official booking service, together with the event-specific information provided before booking.
2. Event information
The event page will state the confirmed date, venue, times, eligibility, ticket inclusions and price.
Mandatory charges will be disclosed before payment.
An enquiry or expression of interest is not a confirmed registration or ticket booking.
3. Parents and guardians
The person making a booking must be aged 18 or over.
Children must attend with a parent or guardian, who remains responsible for their supervision throughout the event.
Attendance does not constitute a drop-off childcare arrangement.
Age restrictions and additional participation requirements will appear on the relevant event page.
4. Registration and payment
Provide accurate purchaser and attendee information.
For paid tickets, a booking is confirmed once successful payment and booking acceptance have been recorded and a confirmation issued.
For free registration, confirmation is issued following acceptance of the registration.
Where Stripe is enabled, payments are processed through Stripe.
An incomplete checkout does not reserve a place. Keep your confirmation and ticket for entry.
Contact us if payment appears to have been taken but no confirmation arrives.
5. Cancellation by the purchaser
For events taking place on a specified date, tickets are not refundable solely because you change your mind, no longer wish to attend or fail to attend, except where required by law or expressly stated otherwise.
The usual 14-day cancellation period for online purchases does not generally apply to dated leisure-event tickets.
6. Cancellation or changes by us
If we cancel the event, we will refund the amount paid to us for the cancelled booking, including mandatory booking charges collected by us.
If we reschedule or move the event, we will offer the option of retaining the booking or receiving a refund.
If another substantial change affects the booked experience, we will explain the change and the available remedies, including a refund where appropriate.
We will communicate the refund procedure and expected timing. Where practicable, refunds will be returned through the original payment method.
Your statutory rights remain unaffected.
7. Weather and safe operation
Outdoor activities are subject to weather and safe operating conditions.
Activities may be adjusted reasonably for safety. A minor programme adjustment does not automatically constitute cancellation of the event.
If weather results in cancellation, rescheduling or a substantial change to the booked experience, section 6 applies.
8. Ticket transfers
Contact us before transferring a ticket or registration.
Transfers are subject to eligibility, accurate attendee details and our written approval. A transfer is not confirmed until approved.
9. Safety and conduct
Follow reasonable safety instructions and treat players, families, staff and other attendees respectfully.
Wear or bring equipment specified in the event information.
We may restrict participation or require someone to leave where reasonably necessary to address unsafe, abusive or seriously disruptive behaviour.
Decisions, including any related refund decision, will be fair and proportionate.
10. Photography and personal information
Booking information is handled under our Privacy Policy.
Photography and filming arrangements, intended uses and consent choices will be explained separately.
Ticket purchase does not itself grant permission to use an identifiable child’s image for promotional purposes.
11. Liability
Football and physical activities involve risks. Participants and accompanying adults must follow reasonable safety guidance.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that the law does not permit us to exclude.
Your statutory consumer rights remain unaffected.
12. Questions and complaints
Email prospectxi.uk@gmail.com with your booking reference and the relevant details.
13. Governing law
These terms are governed by the laws of England and Wales.
Consumers retain mandatory legal protections and applicable rights to bring proceedings in their home jurisdiction.
